ECAFA Meeting Minutes The August 28, 2003 ECAFA meeting was held at the Golden Corral in Asheboro, NC. 17 members and 2 guests were present: Harlan Sexton Bob Bryan's sister, Jackie, and her husband attended as guests. For an explanation of the Military Ceremony and why it was cancelled. click here. Linda opened the meeting by sharing the apology which Dennis had sent inference to the military ceremony. Everyone was given an opportunity to read it and comment on the ceremony and the apology. Linda spoke to the group about how the controversy over the ceremony and all the hard feelings need to be put behind us. Nancy spoke about a conversation she had with Eugene a couple of weeks ago when he expressed his wish for all controversy and hard feelings to end so the ECAFA could move forward. Eddie Clay spoke emphasizing the same sentiments. Darrell also spoke, expressing his wish for everything to be over. Linda ended the discussion by asking the membership to put the whole discussion and all hard feelings behind and begin to move forward with a positive outlook. All agreed. It is the entire ECAFA's wish to not discuss this subject any further. Linda then turned the discussion to the death of our Treasurer, cousin, and dear friend, James Eugene Allred. Nominations were accepted for our new Treasurer, after which Darrell made the Motion that nominations be closed and Harlan Sexton be voted on as our new Treasurer. Eddie Clay seconded the Motion. All voted "yes" and Harlan accepted the position as our new Treasurer. (Proxy votes were included.) In an effort to "lighten things up some", Linda read an obituary from a 1893 Danville, Indiana newspaper which prompted the story and song "I'm My Own Grandpa". Everyone had a good laugh about it. Bob Bryan then challenged everyone to solve the riddle: "Brothers and Sisters, I have none, After several answers were suggested and rejected, Sara Allred won the prize for solving the riddle. What's the answer, you ask? If you weren't at the meeting, you'll have to wait until the reunion to find out! The discussion then turned to the reunion plans. Linda suggested, with Franklin's approval, that this year's reunion be dedicated to the memory of James Eugene Allred. Memorial plans were discussed and plans were made for a short speech about Eugene which will be given during the Family Meeting on the morning of the main reunion day (Saturday). Reunion job assignments were given out: Harlan will do all the shopping necessary to pick up plates, eating utensils, etc., for the reunion. Sara and Harlan will man the Registration Table Becky, Nancy and Dot Judd will man the Sales Table where all the videos, t-shirts, hats, etc., will be sold. JoAnn and Rachel will take care of the cafeteria, making sure all the food is uncovered, organized, etc., Mildred will make sure the coffee pot is there and working Mildred will also make the Lemonade Franklin will have the bucket there for the Lemonade Franklin will also have ice for the drinks Franklin is also going to put up the banners for the reunion (going up next weekend). Linda will lead the Family Meeting. Darrell will give a short talk during this meeting, explaining why the military ceremony was cancelled. Wallace will lead the prayer before lunch Franklin will introduce the Blue Grass Band and Gospel Group Becky, Carolyn, Mildred, Donna and Tonya will bring/bake the cakes needed and manage the cake walks. They will also manage the coloring contest. The coloring contest is to be open to all children 10 years old or younger and be "rigged" so that all children entered in the contest will win one dollar as a prize. Adrian & Tot will supply the crayons and coloring pages Lawrence & Dot Allen will be our floaters, hanging out around the registration table and/or sales table in case help is needed at either place. They will also stay close to the Silent Auction area in case help is needed there. Everyone is needed for the set up Friday night (5pm) and clean-up after the reunion. David, Kenneth and some of their friends will be there to handle the chairs and tables and any other heavy items. Harlan will take care of collecting all money raised during the reunion. He will handle any tax credit slips that need to be handed out. He will also make sure a monetary "gift" is given to the Redeemed Hearts and Gospel Grass as a "Thank You" for their performances. Everyone is encouraged to bring items for the raffle and Silent Auction. We have some items, but need more. The meeting adjourned with a reminder that everyone needs to be at Grays Chapel School at 5pm Friday, Sept 12, to set up for the reunion.
