ECAFA Meeting Minutes The East Coast Allred Family Association met Tuesday night, July 13, 2004, at Dry Dock Seafood in Siler City, NC. Attending were:

The meeting began with a discussion about plans for the upcoming Reunion in
Randolph County scheduled for September 9 - 12, 2004. Linda reviewed the
schedule:
Thursday, Sept 9th: Research Day at the NC Archives
Friday, Sept 10th: Tour of Family and Historical Sites in the County
Saturday, Sept 11th: Main Reunion Day at Grays Chapel School
Sunday, Sept 12th: All Day Picnic in the Allred-Trogdon Cemetery
Franklin agreed to check with Kathy Allred to make sure Grays Chapel School
has been reserved for that weekend. Harlan told the group that Sara
Allred had researched renting Port-A-Potties for us to use at the Allred-Trogdon
Cemetery during the Reunion's Sunday activities. The price will be $65 +
tax per toilet. The membership agreed that we should rent 2
toilets for that day.
Harlan (ECAFA Treasurer) stated there was $618.79 currently in the ECAFA bank
account with no outstanding bills. All checks written within the past
month had gone to pay for DNA Tests (York / Arledge / Aldridge / Allred /
Elrod DNA Projects). After discussion, the group agreed that
we would not rent a bus from Holiday Tours this year. In past years, we
had rented a bus to use for the Tour of Family and Historic Sites.
In an effort to cut costs, everyone voted to rent two 15 passenger vans for
this year's Reunion Tour and to use for transportation on Thursday's trip to
the NC Archives. The bus from Holiday Tours, Inc. would cost $565.00 per
day. The 15 passenger vans will cost $65.00 per day per van (plus gas).
(Linda and Alice will be the drivers.) Using the vans will be much less
expensive than renting the bus for 2 days.
The Reunion's Saturday activity schedule will remain the same as last year:
9am: Doors Open
10:30am: Family Welcome Meeting
Noon: Covered Dish / Pot Luck Lunch
1:00pm: Musical Entertainment in the Gym
1:30pm: Genealogy Sessions in various locations around the school
4:00pm: Last Raffle Ticket drawn and activities wind down
Brian Allred volunteered to contact "The Benton's", a Gospel Group
from Randleman, NC. Brian works as their Sound Man. Eddie Clay is
going to contact "Redeemed Hearts", the Gospel Group he sings with.
Hopefully both groups can perform during the afternoon on Saturday.
Eddie Clay and Brian will report on this at the next meeting.
After discussion, everyone agreed that we would not have an auction as a fund
raiser this year. However, we will still have the Raffle. Everyone
is encouraged to donate large and small items to give away as Raffle presents.
Raffle tickets will be sold at the Registration Table and winning tickets will
be drawn throughout the day with the last ticket to be drawn at 4pm.
Franklin told everyone that we still have plenty of T-Shirts and Hats to sell
at the reunion. Becky said we also have several Allred Family Cookbooks
to sell. There are also several videos of the Tour of Family and
Historic Sites which can be sold as fundraisers. In addition, donation
buckets will be available in various sites around the school during Saturday's
activities and on the vans for Thursday and Friday's activities.
Reunion plans will be finalized at the next ECAFA meeting.
Linda spent the rest of the meeting giving a preliminary presentation which
she is preparing for one of the Genealogy Sessions for the Reunion. The
presentation will be on the Patriot and Tory activity which took place in
Richmond County, NC during the American Revolution.
The next meeting will be held Tuesday, August 10th, at 6pm at the Golden
Corral in Asheboro.
