ECAFA Meeting Minutes January 16, 2003 The ECAFA met Thursday night, January 16, 2003, at the Best Foods Cafeteria in Siler City. Despite an impending snow storm, 17 members were present: Linda Allred Cooper ECAFA President, Linda Allred Cooper, opened the meeting by handing out two sympathy cards for everyone to sign that will be sent to Owen Allred (his brother Marvin died) and Donna Sue Allred (her mother died). After discussion, acting on a motion by James Eugene Allred, 2nd by Eddie Clay Allred, the ECAFA voted to send a potted plant to the funeral home in Ramseur for Donna's mother, Moletta "Tom" Allred. Estimated cost will be $25. Treasurer James Eugene Allred told the group that there was about $485. in the ECAFA bank account to date. Linda asked for a clarification on when the ECAFA fiscal year will begin and end. After discussion, Eddie Clay made the motion that, in agreement with our Articles of Incorporation, the ECAFA fiscal year should begin January 1st and end December 31st each year. Lawrence Allen 2nd the motion and everyone voted "Yes". The ECAFA Corporate Controller, Harlan Sexton, reminded everyone that we will have to prepare and file an income tax form by April 15, 2003. After discussion , a meeting was set up between Harlan, James Eugene, Becky (ECAFA Secretary) and Linda for Tuesday January 21, 2003 to begin preparations for this. Harlan Sexton told the group that he, Becky and Linda had visited the abandoned Lane-Foust Cemetery located near Ramseur last week to re-photograph the tombstones. These photographs were placed on the AFO web site so everyone would have access to the information. A copy of the tombstone recording was also sent to Jocelyn Barrett of the Randolph County Genealogy Society for their records. Harlan, Becky and Linda told the group that the cemetery is in horrible shape. Things were bad enough prior to the ice storm in December 2002, but the ice storm had caused several more trees and large limbs to fall and damage the cemetery. Discussion followed and everyone agreed that we should approach the cemetery owner to gain permission to clean and restore the cemetery. There was also discussion about possibly gaining ownership of the cemetery in exchange for a tax credit to the owner. Harlan agreed to visit the Randolph County tax office to find out who the property owner is and contact him/her about cleaning the cemetery. One permission has been gained and the cemetery is cleaned, everyone agreed to possibly approach the owner about transferring the property to the ECAFA. This will be an on-going project. Franklin Allred informed the group that he had been to the Allred-Trogdon Cemetery and removed several limbs and debris from the ice storm. A couple of large trees had fallen during the storm that would need to be cut up and moved. After discussion, everyone agreed to plan a work day in this cemetery around the last of February or first of March after the danger of more ice storms had passed. Linda will schedule this work day and notify everyone at our next meeting. Linda directed discussion to future plans for the Allred-Trogdon Cemetery. Harlan Sexton will be chairman of the committee to graph out the cemetery, marking where all the graves, both identified and unidentified, are located. Work will continue throughout the year to locate, identify and record more tombstones. The ECAFA will recruit/raise funds to place a monument or placque in the cemetery listing everyone buried there. Everyone agreed that this will be an on-going project. Linda informed the group that the DNA project was gong very well. Members of the Elrod family were being approached about taking the DNA test to prove or disprove that the Elrod and Allred families were one - or not. Families already participating in the project are: Allred, York, Arledge and Aldridge. Linda and Ruth Ann reminded the group that they, along with Dennis York, Nancy Martin, Hilda York and Alice Pottmyer, were traveling to Chester County, PA for a genealogy research trip January 26 - 31. Many of Randolph County's original settlers came from Chester County, PA, and there are several genealogy and historical libraries located there, so this will be a wonderful place to possibly find new information. After discussion, Eddie Clay Allred made a motion for the ECAFA to donate $150 to the researchers to make copies of documents with while on this trip. The money will be used for actual copies made. If the entire $150 is not used for copies, any amount not used will be returned to the ECAFA. If the researchers find lots of information and make more than the $150 in copies, the ECAFA will pay the additional amount at the next meeting. Hollis Allred 2nd the motion and all voted "yes". Copes of all documents will be organized and donated to the Randolph Room. Sara Allred told the group that Jean Kohl of Asheboro had contacted her and offered to share her family genealogy with the ECAFA. Discussion followed and Sara agreed to set up a date and time in the next week or so when members could go to visit Mrs. Kohl and interview her. Linda then directed the meeting discussion on planning for 2003. A lively discussion followed about what types of activities, workshops and trips the ECAFA members would like to participate in during 2003. During discussion, everyone agreed that our research theme for 2003 should be the Regulator Movement, learning about our ancestors who participated or were involved in the Regulator Movement and War. Keeping this in mind, agreement was made on the following activities for 2003. Dates and final arrangements will be announced at the the next ECAFA meeting. January 26 - 31, 2003 Research Trip to Chester County, PA (already planned) Late February or early March: Work day in the Allred Trogdon Cemetery March: Work day in the Lane Foust Cemetery April: One Day Educational trip to visit the Brick Church, Alamance County's oldest German Lutheran Church, which has a wonderfully restored and maintained cemetery. This cemetery has amounted graph of the cemetery with each grave marked so visitors can locate each with ease. This could be the model for what we will create for the Allred-Trogdon Cemetery. From there, we will visit the Alamance Battle Ground to learn about the War of the Regulation which took place there March 16, 1771. Following lunch, we will travel to Hillsborough, NC (Orange County), to tour the historic district. This includes a visit to the site where six members of the Regulators were hanged on June 8, 1771. May: One day Educational Trip to the Greensboro Historical Museum to view artifacts from the Civil War. June 26 - July 3: Trip to Spring City, Utah to attend the Allred Reunion, the sight-seeing in Las Vegas. August: One day Educational trip to New Bern, NC to tour Tryon Palace, part of our continuing education on the Regulator Movement. September: Reunion in Randolph County, NC. This includes a one-day tour of Randolph County historical sites. During the next ECAFA meeting, workshops aimed at teaching people about genealogy research will be discussed and planned for sometime in 2003. Each activity and educational trip will be advertised on the AFO web site, in the Randolph Room, various genealogy chat lists and notice in the local newspapers. The public will be invited to each event/activity/trip. The meeting was adjourned at 8:30pm. The next ECAFA meeting is planned for Thursday, February 13, 2003, 6pm at the Golden Corral in Asheboro.
